Job purpose: To coordinate the support for students and their families who have engaged Gabbitas for guardianship services, ensuring that guardian families, schools and other suppliers are seamlessly co-ordinated through the concierge service.

Location: Gabbitas Education, London SW1, but with potential for working from home

Line Manager: Director of UKiset and Student Support Services

Background information

Gabbitas Education is one of the oldest companies of its kind in the world. An established provider of support services to independent schools in the United Kingdom and internationally, as well as the recognised service for advice on UK preparatory and public schools and higher education.

Guardianship is one of Gabbitas’ oldest services, providing support to students studying away from home who require a legal guardian based here in the UK. Expert coordination between the student’s school, parents, and guardian is essential in meeting the student’s needs and ensuring the necessary duty of care. This is a client-facing role requiring the highest levels of communication, diligence and customer service.

Now part of the Prospects group of companies and recently acquired by Shaw Trust Group, a leading third sector charity, Gabbitas is investing in an ambitious business development programme.

Gabbitas works with clients around the world and the placeholder will liaise with our international offices in China and Dubai and will be expected to work with parents based around the world in different time zones.  We have a large contingent of children who come from Hong Kong and mainland China.

Job Description

A full-time role, 7 hours per day, 5 days a week but flexible timekeeping and potential for working from home.

Duties include:

  • Liaison with parents, student, schools and guardian/host families as required in relation to students’ welfare, travel, accommodation and academic progress.
  • Record keeping in relation to all correspondence and client relationship management between schools, parents, guardian/host families and students.
  • Entering and updating information on the company CRM system
  • Management of all student files
  • Coordination of guardians/host family visits to students as appropriate
  • Providing additional services on behalf of the parents as required e.g. purchase pf school uniform, booking of dental appointments, etc
  • Accurate recording of activities that incur additional fees for processing by the accounts department
  • Liaison with prospective new guardian families
  • Answering phone calls and dealing with stakeholders in a professional manner
  • A share in the 24/7 emergency phone service for guardianship (includes additional stipend)

Person Specification

Essential skills:

  • Genuine care for students receiving guardianship services from Gabbitas
  • Excellent, clear written and verbal communication skills
  • Attentive to detail, independent initiative, and comfortable with responsibility
  • First class organisational skills and the ability to prioritise work and meet deadlines
  • Relevant office and computer skills (Microsoft Word, Excel, Outlook)
  • Socially astute in dealing with people at all ages and levels of seniority
  • Friendly and professional telephone manner
  • Smart and professional appearance
  • Willingness to learn, adapt and improve
  • Ability to work within, and contribute to, a close-knit team
  • Flexible attitude
  • Enthusiasm

Desirable skills:

  • Any other additional language skills, preferably fluent Mandarin and/or Cantonese, and able to use a both Chinese and English computer keyboard
  • Experience of CRM systems
  • Knowledge of independent schools and boarding

Additional information

This job description is an outline of the general areas of activity and type of person we are looking for.
